Easily find, analyze, and filter gift changes in Partner Portal

We are excited to announce a new feature in our FreeWill Partner Portal to improve your access to up-to-date legacy gift commitments. The nature of planned giving is that gift commitments can change as donors’ lives change. Donors update their estate plans throughout their lifetime, which is why stewardship is an essential part of any planned giving program. 

As a FreeWill partner, you will be able to track donor engagement and learn when a donor updates their estate plan in real time. To help you steward your donors and stay connected, we’ve made updates to Partner Portal to help you find, analyze, and filter changes made to gifts.

 

What is new in FreeWill Partner Portal?

In Classic Portal, you were able to find changes made to your primary bequests in a summary table. Now, in support of the new and improved Portal experience, we’ve added a number of new features to help you easily see when donors increase, change, or remove legacy gift commitments.  In New Portal, you are able to:

  • Access changes to ALL types of legacy gifts on your legacy commitments and gift details pages (not just primary gifts!)
  • Identify which gifts have been changed, filter or sort based on the last recorded change, and export gift information
  • Identify gifts that have been removed so you can update your stewardship plan accordingly

For historical changes to gifts prior to April 15, 2023, you can find the summary table in your Bequests dashboard. For changes made to legacy gifts after April 15, 2023, you can find these details in the Legacy Commitments page and gift details pages.

 

 

Note: The legacy commitments table will only show gifts changed since April 15, 2023.
The column highlighted above, "Date Changed," shows the most recent change to the gift.

 

What new data will I see?

On the Legacy Commitments page, you will see a column for "date changed." If your donor downloads their estate plan, the following will appear as a change:

  • Estimated gift amount

  • Amount type: percentage % or fixed sum

  • Message from the donor

  • Gift designation

  • Custom program name

  • The first time the donor downloaded/emailed the will (if it previously appeared in Portal as a "draft" estate plan)
  • Asset type, description, financial institution (non-probate assets)

If a previously anonymous donor opts in to share their contact information, or if a named donor opts to become anonymous, this will be automatically indicated as a "change" to the will, even if a donor does not re-download their will. All donors will have a FreeWill ID attached to their contact so you can easily track changes in your donor database.

 

Notifications for changes to gifts are not yet available but will be coming soon. In the meantime, you can sort and filter gifts by the "Date Changed" column on your Legacy Commitments page to find all gifts that have changed recently. We welcome your feedback on the types of notifications that are most beneficial to your organization. 

 

Why is this data important?

We know that your time is valuable, and we want to surface important gift changes for you. When donors change their gift commitment value by increasing or removing a gift, we recommend reviewing this information and updating your stewardship plan accordingly. 

 

No matter how a donor writes their estate plan, gifts in wills are always changeable and revocable. That flexibility is one reason gifts in wills appeal to donors. This highlights the importance of timely donor stewardship. FreeWill offers stewardship resources to help guide your team on best practices, including following up with donors within one week following a gift commitment.

FreeWill helps you learn about new legacy gifts early in the estate planning process to increase opportunities for gift stewardship, retention, and realization. The benefit of being a FreeWill partner is to create a relationship with the donor early and steward them for a lifetime. 

 

What should I do next?

If a donor adds a gift to an existing estate plan or increases their gift amount, we recommend reaching out to thank them as soon as possible. FreeWill provides stewardship templates to help you get in touch with donors.

 

If a donor removes a gift, we recommend updating your internal stewardship workflows and data tables, including legacy societies. If you have already stewarded the donor, or they have an existing relationship with a gift officer, you may wish to reach out to better understand what the change in gift represents for the donor’s estate plan. For example, the donor may have decided to create an estate plan outside of FreeWill but is still keeping you in their will.
